Phonemos Docs
Your knowledge exists. Your team just can't find it.
Phonemos Docs is the structured knowledge management workspace for teams who need to document, share, and publish — inside their organisation and beyond it.

These features make the difference
Stop searching, start finding
Phonemos' AI-powered semantic search understands what you mean, not just what you typed. It finds relevant pages, files, Word documents, and PDFs — even when the exact words don't match. OCR makes even embedded images searchable. Filter by metadata, labels, and logical operators to narrow down results precisely.

Write once, publish everywhere
Create content once in the editor and deliver it in any form your audience needs. Publish to custom-branded web portals for customers or the public. Export entire page trees to CI/CD-templated PDFs, Word documents, Markdown, HTML, or custom formats you can post-process with scripts. Attach a QR code to a product and let field service read manuals on any device.

Collaborate across organisations — not just teams
Most wikis are built for one organisation. Phonemos is built for the way knowledge actually flows — across teams, companies, partners, and customers. Fine-grained access control lets you manage exactly who sees what, down to the zone, topic, or page level. External users can contribute or read without needing expensive full licences.
Role-based access control for internal and external users
Zones as protected folders — share selectively without separate portals
Multiple login options: SSO (OIDC/SAML), one-time token, Passkey (FIDO2)
External users participate without full editor licences

Multilingual by default
The world is multilingual. Phonemos treats this as a first-class feature, not an afterthought. Each page can have multiple language versions. Authors write in the language they know. DeepL automatically translates content for audiences who need it. Readers see content in their preferred language, configured in their profile.

Structure your knowledge, not just store it
Phonemos gives knowledge a structure it can be filtered, queried, and acted on. Enrich pages with structured metadata — tags, custom fields, dates, status values — then surface that data in dynamic tables, filtered views, and reports. Labels and configurable navigation make large knowledge bases navigable by anyone.

Publishing workflow and governance
Not every piece of content should be published the moment it's written. Phonemos supports document publishing workflows — content can be drafted, reviewed, and approved before it goes live. Full versioning and history means nothing is ever lost, and deleted content can be restored.

The Phonemos editor is powerful enough for technical documentation and simple enough for anyone in the team. Real-time collaborative editing, embedded diagrams (BPMN, UML, Archimate, floorplans, mockups), math formulas, code blocks, and templates — all in one place, without needing external diagram tools.

The most meaningful differences are sovereignty, structure, and audience. Phonemos is Swiss-made, hosted in Switzerland, and not subject to the US CLOUD Act — which matters for regulated industries and public sector organisations. Structurally, Phonemos adds native metadata, configurable navigation, and publishing workflows that Confluence requires third-party plugins for. And while Confluence is built for internal teams, Phonemos is designed from the ground up for cross-organisational collaboration — including external users, customer portals, and multilingual audiences.
SharePoint is a capable file storage and intranet platform, but using it as a knowledge base requires significant configuration effort and ongoing maintenance. Search is limited, structured metadata requires custom list setup, publishing to external audiences is complex, and multilingual content has no native support. Phonemos is purpose-built for knowledge documentation — you get structured wikis, semantic search, multilingual content, and external publishing out of the box, without SharePoint's administrative overhead. Migration from SharePoint is supported directly.
Yes, and this is one of Phonemos' core strengths. You can give external users access at exactly the level they need — read-only, commenting, or full contribution — without giving them access to everything else. Zones let you carve out protected areas for partner collaboration or compliance evidence. For larger audiences such as customers or the general public, Phonemos Portals let you publish branded, structured content to anonymous or authenticated visitors, with no licence required for readers.
Yes — it is where much of our existing customer base sits. Phonemos is ISO 27001:2022 certified, GDPR-compliant under Switzerland's EU adequacy decision, and operates entirely outside the US CLOUD Act. It can be deployed in the Swiss cloud, on any AWS region, or self-hosted in your own data centre. SSO integrations include Swiss-specific identity providers such as AGOV (citizen login) and eIAM (federal administration), as well as standard enterprise providers. The Stadt Zug and Kanton Bern are among our existing public sector customers.
